A certified and notarized translation is a translation of a document from one language to another that has been certified by a professional translator and notarized by a notary public.

What is certified translation?

A certified translation is a translated official document accompanied by a signed statement from the translator attesting to the completeness and accuracy of the translation. The statement can also be notarized by a notary public. Once a translation is certified it becomes a legal record.

So, an official translation is when it is certified either by the translator, or by a translation office or a notary. We can offer all these types of translation certification.

What is Notarized Translation?

When a notary public notarizes a translation, they are not verifying the accuracy of the translation. Instead, they are verifying that the translator is who they say they are and that they signed the Certificate of Translation Accuracy.

Notarized translations are often required for official documents, such as birth certificates, marriage certificates, academic transcripts, and immigration papers. They may also be required for business transactions, such as contracts and agreements.

To get a translation notarized, you will need to find a notary public who is authorized to work in the state or country where you need the translation. You can find a notary public online or at your local bank, library, or post office.

Once you have found a notary public, you will need to bring the original document and the translation to their office. The notary public will then verify your identity and ask you to sign the Certificate of Translation Accuracy. Once you have signed the certificate, the notary public will sign and seal the document.

The price of a certified translation depends on the number of words in the document, and on the language combination and when you need the translation delivered.

In Baltic Media® certified translation of a document (certified by our office’s representative or by notary public) costs from 25 EUR incl. VAT or SEK 350 incl Swedish VAT.

NOTE! In order to be able to offer this price, we certify our translations at the notary public in Latvia (where our head office is located) and then send documents by a registered letter to your postal address.

It is the client’s responsibility to check beforehand if the certification by a notary public in Latvia (EU) is valid in the intended country and institution.

Please note that certifying a translation by a notary public in Sweden is much more expensive and requires that the translation is performed only by an authorized translator by the Swedish Chamber of Commerce. The number of these translators is limited and not available in all languages.

If the translation does not need notary certification or it for some reason cannot have notary certification, we can also provide a sworn translator’s certification.

Terms | Certified and Notarized Translation 

Certified – This implies that a professional translator does the translation. After the translation, a representative of our office certifies that “THE TRANSLATION IS CORRECT” with a signature and the stamp of Baltic Media®.

Notarized – This is essentially the same as a certified translation, with one additional step. The translator signs the certification statement in front of a notary. Note that the notary's stamp and signature here are notarizing the certification, not the translation itself.

All languages and all types of documents

Please check with whoever you are submitting the certified translations to the level of certification required. If the answer is not clear, we try and help advise on the correct level of certification.

  1. Translation office certification / Certification by certified translator: the original of the document or its copy is bound together with a translation certified by a representative and/or certified translator of Baltic Media®.
  2. Notarized translation to the original document: the original document is bound together with a translation certified by its translator; a notary certifies the translator’s signature.
  3. Notarized translation to an uncertified copy of the document: a copy is made from the original document and is bound together with a translation certified by its translator; a notary certifies the translator’s signature.
  4. Notarized translation to a certified copy of the document: a copy is made from the original document and is bound together with a translation certified by its translator; a notary certifies the translator’s signature. The compliance of the copy (true copy) of the document is certified by a notary only, if the original document is presented; the price for copy certification depends on the number of pages in the original document.

Apostille

An apostille is essentially a certification that verifies the authenticity of a document issued in one country for use in another country that's part of the Hague Convention. The Hague Convention is an international treaty that simplifies the process for getting documents recognized abroad.

In some cases, before the translation and notary certification is done it is necessary to have the document legalised, i.e. – have its authenticity certified with an Apostille.

The apostille is issued in the country where the document was issued.

If the document was issued in Finland, the Apostille is also issued in that country. The client has to do this himself before sending both documents to us for translation.

We can only help with the Apostille for documents issued in Latvia.

What Is a Sworn Translation?

If the translation does not need notary certification or, for some reason, it cannot have notary certification, we can also provide a sworn translator’s certification.

A sworn translation allows you to keep the legality of your documents in certain countries. It is not necessarily a required type of an official translation in every country but may be obligatory for certain documents for example in Spain, Italy, France or The United States of America.

Sworn translations can only be performed by translators who have been sworn in. A sworn translation shows that the document translation is genuine. But unlike the notarized kinds, sworn translations do not have to be signed in front of a notary public. Instead, the seal of a sworn translator is enough.

The number of sworn translators is very limited, so they are not available in all languages.
